Delete your FleetGS account

FleetGS accounts are provisioned by the fleet operator (your employer). Drivers do not create their own accounts in the mobile app — they are invited by a fleet manager. This page explains how to delete your account and what happens to your data. FleetGS is operated by Rapid Dev Ltd (trading as FleetGS).


1. If you are a driver

Your account was created for you by your fleet manager, who is the Data Controller for your work-related data. To close it:

  1. Contact your fleet manager first. They can deactivate your account from the FleetGS web platform and remove your access immediately.
  2. If your fleet manager is unreachable or you need to escalate, use the deletion request route below (Section 3) and we will help.

Once your account is deactivated, you will no longer be able to sign in to the FleetGS mobile app, your push notifications will stop, and your personal data will be deleted as described in Section 4.


2. If you are a fleet manager or company admin

You can close your company's FleetGS subscription from the web platform:

  1. Sign in at app.fleetgs.com.
  2. Open SettingsAccount.
  3. Click Close account and confirm.

Closing the account removes your personal data, ends the subscription, and deactivates all driver accounts under your company. Anonymised compliance/insurance records are retained as described in Section 4.


3. Request deletion by email

If the options above aren't available to you — for example, you no longer have access to the web platform, your fleet manager isn't responding, or you simply prefer to request it directly — email us:

  • Email: privacy@rapiddev.co.uk
  • Subject line: "Account deletion request"
  • Please send the email from the address registered to your account, and include your full name and (if known) the name of the company whose fleet you are part of so we can locate your record.

We will acknowledge your request within 5 working days and complete the deletion within 30 days, in line with UK GDPR. We may need to verify your identity before we proceed.


4. What is deleted, and what we have to keep

Deleted immediately:

  • Your name, email address, phone number, and postal address
  • Your password hash and any active login sessions
  • Your profile photo
  • Your push notification tokens
  • Recent shift location history not yet required for compliance reporting

Anonymised and retained:

  • Vehicle inspection records, damage reports, and incident reports you submitted — we are required to keep these for insurance and legal-claim purposes for up to 7 years. After your account is deleted, these records no longer link to your identity; they reference an anonymous identifier instead.
  • Billing records (where applicable) — we are required by HMRC to retain invoices and payment records for 7 years.
  • DVSA compliance records — retained for 5 years to meet legal obligations relating to fleet operator compliance.

These retention obligations are a lawful exception to the right to erasure under UK GDPR Article 17(3)(b) and (e).
